IGS 2025 Presentation Guidelines
GUIDELINES FOR PREPARING YOUR PRESENTATION
IMPORTANT: To ensure the proper execution of this onsite conference, please pay special attention to the instructions below. If you have any questions or difficulties following the guidelines, please contact the IGS 2025 Secretariat ([email protected]) who will be happy to help.
English is the official language of the conference. As a result, all papers must be entirely presented in English (oral and posters).

Onsite Oral presentations
All onsite Keynote and Oral presentations will be presented live from the Pavillon Lassonde as scheduled in the online conference program. Speakers will be present for their entire session to answer questions and participate in any discussions.
There will be a Session Chair in each session. The Session Chair will then select questions from the attendees, depending on the time allocated for the discussion, and the presenter will be able to answer verbally during the session.
• All Contributed Oral presentations will be 18 minutes total, including 3 minutes for questions.
• All Keynote Session Oral presentations will be 60 minutes total, including 10 minutes for questions.
All sessions will be fully recorded for post-conference streaming so that all registered attendees will be able to revisit the sessions for up to three months after the event. Please note that we automatically assume that presenters accept that their recorded presentation will be made available to participants for post-conference streaming on the IGS 2025 Conference website (under a password access). In case of refusal, presenters of accepted papers will need to notify us at [email protected] by June 5, 2025.

Preparing Visual Support for an Oral Presentation at IGS 2025
You are required to use the same title as it appears in your accepted abstract (latest version). We recommend that your visual support be presented in WIDESCREEN format to enhance visibility in the room, but other options will be accepted. To take full advantage of the widescreen format, we recommend that you build or convert your presentation to 16:9 dimensions. We recommend using Microsoft Office PowerPoint for your presentation.
If your presentation includes video files, we require you to test it in the session room where your presentation will take place well in advance of the start of your session (but at the LATEST 30 minutes before the start of your session if no other session is undergoing) to give time to our audiovisual technician to make adjustments in the room if needed. You may take advantage of coffee breaks or lunchtimes to do so.
Important Note for Mac Users
To use MAC presentations on a PC compatible computer, please note that you need to prepare it according to the instructions below, before bringing it to the technical staff.
• Use a common font, such as Arial, Times New Roman, Verdana, etc. (special fonts might be changed to a default font on a PowerPoint based PC)
• Insert pictures as JPG files (and not TIF, PNG or PICT - these images will not be visible on a PowerPoint based PC)
• Use a common movie format, such as AVI, MPG, mp4 and WMV (MOV files from QuickTime will not be visible on a PowerPoint based PC)
IGS 2025 Poster Presentation
On Tuesday, June 3, each presenter will have two minutes to deliver a teaser poster presentation during the Teaser Session. This short oral poster introduction will give presenters an opportunity to attract visitors to their poster boards (cf. IGS 2025 Program). Presenters will be asked to be available to answer questions during each dedicated poster viewing time.
The poster sessions will be held in Pavillion Lassonde. Poster sessions provide an opportunity for informal, interactive presentations and discussions. Presenting authors are required to be at least for the entire length of the Tuesday, June 3, Poster & Demo Session to present their posters and to answer questions and network with attendees. All through the next coffee breaks IGS 2025 attendees are likely to ask presenters about their posters, which will have to remain on display throughout the conference.
Each author will have access to a poster board, with a usable area measuring 40" (102 cm) high and 36" (91 cm) wide. Poster materials should not extend outside the assigned area. Each presenting author will receive a poster number by e-mail. A label that indicates your poster number will be placed in your board space.

Preparing a Poster for IGS 2025
You are required to use the same title as it appears in your accepted abstract. Please find below a few recommendations to prepare your poster:
• Allocate the top of the poster for the title and authors as stated on the submitted abstract.
• Simple "Introduction" and "Conclusion" sections are helpful.
• When feasible, use graphs for depicting qualitative relationships and tables for precise numerical values.
Set up schedule for Poster Presenters
Technical equipment (pins) will be available for the mounting of posters. Presenters are responsible for the setting up and the removal of their posters according to the following schedule:
Set up: The posters must be set up for display no later than Tuesday, June 3, 3:45 pm to be ready for the coffee break.
Removal: The posters should remain on display until Thursday, June 5, 4:30 pm after the coffee break.
Please note that any poster not removed by Thursday, June 5, 7:00 pm will be discarded.
The IGS 2025 Conference cannot accept liability for lost or damaged posters.
